Enhancements to my|CalPERS are scheduled to be implemented mid-November for the Direct Authorization Program’s online deduction processes. The new features will allow more ease of use for deduction processing as well as deduction register report retrieval. The updated DAV User Guide, training materials and training schedule are being developed in preparation of the anticipated implementation. Stay tuned as we will be reaching out to our direct authorization vendors to schedule the training. Please pass this along to other interested parties in your organization. Email us if you have questions.

Reports are now available for direct authorization vendors to retrieve in Cognos. The report you will need is Deduction Register Report 283384 0 (dated September 19, 2012 at 12:38 a.m.). If you receive an error message, the reason may be due to a system timeout in the search. Should this happen, please retry your search. Please report any problems to the BNSD Direct Authorization Program.

The Direct Authorization Program charges a deduction administration fee of $.03 per deduction per month. These charges accumulate during the fiscal year (July 1 - June 30) and are invoiced annually on July 1.

For Fiscal Year 2011-12, CalPERS is waiving the Direct Authorization administration fees due to computer errors experienced by our new system. Therefore, invoices will not be generated and payment will not be required for this year's Annual Direct Authorization Billing. We anticipate we will resume our annual invoicing for Fiscal Year 2012-13. We apologize for any inconvenience this may cause you. If you have questions, please email us.

There are known system issues which are intermittently preventing payroll files from processing. A system modification is scheduled this weekend that should support processing of these payroll files. We are working to resolve the remaining issues, and further updates will be provided when additional information is available. If your payroll files remain in a “processing” status for more than 24-hours, please contact the CalPERS Customer Contact Center at 888 CalPERS (or 888-225-7377). We thank you for your patience.

Due to technical issues, the browser back button functionality has been temporarily disabled on some my|CalPERS payroll reporting pages. This system limitation may cause you to perform additional steps when trying to view and resolve payroll errors within participant records. As an interim solution, it is suggested that system users do the following:
  • After submitting a payroll file, utilize the COGNOS application to generate a payroll report summary to view record details. This will help you identify the cause of the error prior to viewing the record online.
  • When navigating out of a record, select the Reporting global navigation tab. This will allow you to go back into the preprocessing area to view records. We apologize for the inconvenience.

If you need to reset your expired my|CalPERS password, simply go to my|CalPERS, select the Business Partner radio button and then the Continue button. After the Business Partner Login page displays, select the Forgot Your Password link. You will then need to enter the full name of your agency, first name, last name, and username, and answer five challenge questions. This information must be entered exactly as we have it in our system in order for it to be recognized. You will then be able to enter a new password. After you do this and receive a confirmation message, you can log in to my|CalPERS using your new password.

Please note that our Automated Communications Exchange System (ACES) will be decommissioned after 6:00 p.m. on Wednesday, November 30. Please use my|CalPERS to access information and conduct CalPERS business.

There is a known system issue which is preventing my|CalPERS from processing online submitted batch files during the following time period: 12:00 a.m. – 5:30 a.m. We are working to resolve this issue, but meanwhile, if you are an online reporter with batch processes, please do not use the online process to submit your files during this time period.

To help alleviate some of the obstacles you are facing, we have extended key reporting deadlines, are conducting daily webinars to provide timely responses to your questions, and have temporarily added additional hours to the CalPERS Customer Contact Center (CCCC) for our Business Partners. The CalPERS ACH ID number has changed with the roll out of the new my|CalPERS system.  The new CalPERS ACH ID number is: 1946207465.

If you pay by Electronic Funds Transfer (EFT), you must notify your bank that this CalPERS ACH ID number is assigned to an approved payee in order for the payment to be processed by your bank. If you have already submitted an EFT using the old CalPERS ACH ID and the payment was not successfully debited from your account, please resubmit the EFT with the new CalPERS ACH ID listed above.

If you wish to begin using EFT, you must establish a new EFT account in my|CalPERS and then notify your bank of the CalPERS ID number.

All system conversion activities have been completed and the decision has been made to move forward with the launch of my|CalPERS. The new my|CalPERS system will launch as planned on Monday, September 19, 2011.
